Departments

Departments should be set up so that clubs could track different areas of the club that they would like to survey and generate NPS scores for.
Most clubs would start off with Golf, Fitness, Food and Beverage. Later on they may want to create more specific departments.
Example:
Instead of just Golf there could now be two departments, Golf Course and Golf Shop.
Food and Beverage could be split into the respective dining areas, Grille Room, Patio and Bar.

Login to Jonas
Club Management > Interfaces > MemberInsight >Setup Departments

 

  1. Press Tab on keyboard or Select Club Code with drop down





 
MemberInsight Departments window opens 

All departments that have been created will appear in the list
  1. Double Click on Department to see details




 


 
Items to check in the Department Code
  • MemberInsight Department Code
  • Description
  • Status Active / Inactive












 



 

Create New Department code

Club Management > Interfaces > MemberInsight >Setup Departments

  1. Press Tab on keyboard or Select Club Code with drop down





 

MemberInsight Departments window opens 
  1. Double click on **Setup a new Department Code **




 


 
  1. MemberInsight Department Code: give the department a name
    • the code cannot contain spaces
  2. Description: Describe department or give Department the same name as the Department Code (spaces are allowed in the description)
  3. Status: select Active
  4. Click Ok to Save

Note: if you added a new department, make sure you add the same Activity Reporting group to match


 

Activity Reporting Group

Activity Reporting Group

An Activity Reporting group needs to be created to record activity. For the MemberInsight Module, Adding a Department code will trigger a member survey for the linked activity.

The Reporting groups should already be created and linked to a Department code already.

If a new Department code was added. Make sure to create a new Reporting Group.

  1. Press Tab on keyboard or Select Club Code with drop down

All Reporting Groups created will appear with the matching Department code 
  1. Double Click on Department to see details
   
Items to check in the Activity Reporting Group
  • Activity Reporting Group matches the Description.
  • MemberInsight Department is matches the Activity Reporting Group
   
If the MemberInsight Department does not match 
In this example FANDB was already selected, when the magnifying glass is clicked on by default FANDB is already highlighted.

1. Click on the Magnifying glass to open the MemberInsight Departments List

2. Double click on the Department 
  •  if the Department code is not listed follow instructions in the Departments section to create a new Department first
 3. Click Ok to save





 
 

Create New Activity Reporting Group

  1. Press Tab on keyboard or Select Club Code with drop down


 
   
Activity Reporting Groups window opens 
All Reporting Groups created will appear with the matching Department code 
  1. Double click on **Setup a new group code **
   
  1. Activity Reporting Group: give the reporting group a name
  2. Description: Describe the group or give description the same name 
  3. MemberInsight Department: Click on the magnify glass to display list of Deparments that have been created
  4. Double Click the Department
  5. Click Ok to Save







 

Profile Overview

Profile

The Profile section is used to setup which member status, which email,  match reporting groups with sales areas and when information will be communicated to MemberInsight.
 

Club Management > Interfaces > MemberInsight > Profile

Press Tab on keyboard or Select Club Code with drop down
This will enable the other areas that can be accessed using the option on the right within the Profile section


 
Review the following menus on the right side navigation: 
 
1. Flag Emails
2. Member Status
3. POS Activity Reporting Group Links
4. POS Club Activity Profile
5. Tee Time Club Activity Profile (if applicable)
6. Sync (run if you made changes)
   
   

Flag Emails

1.Flag Emails

Determines which email address (Main / Business) on file for the member will be sent over to MemberInsight.
This will be set for all members at the club.
Once this is set up it usually doesn't need to be modified.
 
   
  1. Click Flag Emails on the right
MemberInsight Profile - Flag Member Email Addresses window appears
  • Action - Flag Email Addresses should be selected
  • Which Email - Main Email Address is usually selected
  • Click Proceed - if changes were made to save
  • Click Exit to close the window
   






This next section is applicable if a member wants to use business email or doesn't want to receive communication from Member Insight
Example: member does not want to be surveyed, even though they have a status that should be surveyed.
   
  1. Click Flag Emails on the right
MemberInsight Profile - Flag Member Email Addresses window appears
  1. Action: Click Un-Flag Email Addresses
  2. Which Email - Main Email Address will become greyed out as soon as Un-Flag Email is selected
Member Options section
  1. Members: Click Selected
  2. Selected: click on Magnifying glass to open Lookup Table
  3. a lookup table window will appear
    • search for member
    • double click on member to select
  4. Name will now be added to the Member, Name Table
  • if there are more names to be unflagged
  • Click Magnifying glass again to select more names
5. Click Proceed - if changes were made and a pop up will to confirm changes
  • Click Exit to close the window without saving changes

   

Member Status

2. Member Status 

This determines which member statuses will be included / excluded when member information is sent over to MemberInsight.
 
   
  1. Click Member Status on the right
MemberInsight Profile - Member Status Filtering window appears

Statuses To Be Included section 
Use either Included or Excluded (not both – whichever list will be shorter)

Filter Type
  • All - to send all members over to MemberInsight
  • Included - statuses to receive surveys
  • Excluded - statuses to not receive surveys
Member Status
  1. Click on the magnify glass
  2. Member Status Rules window appears Listing all statuses
  3. Double Click on the status to add to this list
  • If a status was added in error
  • Double Click on line to remove Member Status 
  • Click OK to save changes
   

POS Activity Reporting Group Links

3. POS Activity Reporting Group Links

This section looks at POS transactions and how they will be mapped out to specific sales areas and departments to determine attendance and what surveys a member should receive.
Club Activity Reporting Groups (departments) are linked to a Partition to better define where the activity took place.
  1. Click POS Activity Reporting Group Links on the right - Club Activity Reporting Group Links window appears

 

Partition ID 
1. Click on magnifying glass - POS Partitions window will appear 
2. Double Click to select partition



If the incorrect partition was selected 
1. Click OK at the bottom of the screen
 This will clear selection and bring you back to the screen to select a new partition ID
NOTE: Clubs that have more than one partition, the instructions for the Exclusions and Overrides sections should be repeated for all partitions.
   
Activity Reporting Group Code

The Activity Reporting Group Code  will populate once the partition ID is selected and usually has the same or similar name as the Partition ID




 
Here are two examples
   
If a Reporting Activity Reporting Code is not assigned
1. Click on Magnifying glass -  Activity Reporting Groups window will appear
2. Double Click on Department to select



 
   

Exclusions

To prevent any activity from specific Sales Areas to be updated into MemberInsight, the Exclusions section will need to be set up by adding a Sales Area.
Otherwise the Exclusion section could be left empty

Add Sales Area - to exclude 
1. Click on Magnifying glass in the Sales Area Column - POS Sales Areas window will appear
2. Double Click on the Sales Area Item
  • it will now be added to the Row in the Exclusions Table
  • NO need to select the Category for Exclusions
3. Click OK to save





 
If you click Exit a box will appear asking "Do you want to save changes?"
  • Yes - changes will save and window will close
  • No - all changes will be lost and window will close 
  • Cancel - box will disappear and able to continue making changes
Repeat process to add more Sales Areas to be excluded.
   

Remove Sales Area
1. Click in cell / box with the Sales area number and backspace on keyboard
2. Click OK to save

or

1. Right mouse click in cell / box -  Delete Row option will appear
2. Select Delete Row
- Row with Sales Area number will now be deleted
3. Click OK to save
 
   

Overrides 

This is where the sales areas can be mapped correctly to the activity reporting groups that have been set up.

Start by selecting the Sales Area

1. Click on Magnifying glass in the Sales Area - Column POS Sales Areas window will appear

Note: depending on the partition that is selected the POS Sales Areas items that appear could be different

2.Double Click on the Sales Area Item
  • it will now be added to the Row in the Overrides Table
  • Note: an Activity Reporting Group must be assigned to the Sales Area that was just added
   
Now that the Sales Area is selected we are going to map it to the departmental survey that it will be a part of in MemberInsight.


3.Click on Magnifying glass in the Activity Reporting Group Column - Activity Reporting Groups window will appear

4. Double Click on Department / Group that the Sales Area will belong to.

5. Click OK to save
  • Changes will be saved and all the fields will be cleared on the screen
Click Exit to go back to MemberInsight Profile if you do not want to save the changes.







 
Repeat steps 1 and 2 for all Sales Areas in the partition
  • select another Partition ID to repeat the steps 
Remember to check all partitions (some clubs only have one) and ensure the appropriate Sales Area are associated to the appropriate Departments (Activity Report Groups)
   
 

 

POS Club Activity Profile

4. POS Club Activity Profile


This controls when the member activity is going to be flagged and sent to MemberInsight.
Example: Member visits the restaurant, but when does accounting flag and track the visit. 
 
  1. Click POS Club Activity Profile on the right
POS Club Activity Profile window appears

Update Club Activity File: when should the chit activity be updated.

Choose one of the 3 options 
  • After Chit is Closed - (recommended)
  • During End of Day Update (allow for adjustments, example wrong member number was entered)
  • When Chit is Opened
 Click OK to Save changes
   
In the event the Update Club Activity File option is disabled and it has to be changed.

Point of Sale System >  System Setup > System Parameters 

  1. Click on Club Activity on the right 
Club Activity window appears

Update Club Activity File: when should the chit activity be updated.

Choose one of the 3 options 
  • After Chit is Closed - (recommended)
  • During End of Day Update (allow for adjustments, example wrong member number was entered)
  • When Chit is Opened
 Click OK to Save changes


 

Tee Time Club Activity Profile

5. Tee Time Club Activity Profile (if applicable)
This controls when the tee time booking status is sent to Member Insight (recommend When Players Check-in and is the best practice if the club is already tracking check-ins)
Pick the club's option under the Update Club Activity File dropdown
  1. Click Tee Time Club Activity Profile on the right

Update Club Activity File: Indicate below when you would like Tee Time activity to update the Club Activity file
  • During End of Day Processing
  • When Player Checks-in*
  • At a Specified Time (set the time below the dropdown if using this option - usually a time in the evening - the club should start tracking cancellations so these members do not receive surveys) 
 Click OK to Save changes
   
In the event the Update Club Activity File option is disabled and it has to be changed.
Tee Time Management > Files > System Profile > 
  1. Click Club Activity on the right 
System Profile - Club Activity window appears

Update Club Activity File: Indicate below when you would like Tee Time activity to update the Club Activity file
  • During End of Day Processing
  • When Player Checks-in*
  • At a Specified Time (set the time below the dropdown if using this option - usually a time in the evening - the club should start tracking cancellations so these members do not receive surveys) 
 Click OK to Save changes



 

Sync - service - export

6. Sync (run if you make changes to the Flag Emails or Member Statuses section)
This only has to be clicked on in the event that club decides to change the Member Statuses or change the Flag Emails that are allowed to be updated to MemberInsight 
  • Click Sync on the right
  • the word Sync will now be BOLD and in italics
  • This means the sync will run automatically when the next Export takes place


7. Run as Service (bottom of the window)
Confirm & Explain: it should be set to run every 60 minutes (1 hour) starting at 6am in the client’s time zone
Note: members are processed by Insight every 2 hours
Note: if the service has not been set, DO NOT SET IT - check with the installer post training 


 


8. Optional “Export Data” – Only applicable if NOT running a service
Navigate to Club Management > Interfaces > MemberInsight à Export Data
If the club is NOT setup to Run as a Service, this screen can be used to run exports to Insight manually
